ServiceM8 Audits

Finding the improvements that are actually worth making

Many trade businesses already have ServiceM8. The challenge is making sure it is configured around the way the business actually works.

A prioritised roadmap

An independent ServiceM8 audit of an existing setup

Wild Squirrel Technology has worked with trade businesses including BWJ Plumbing and Gas and IntaFlow Services to independently review their existing ServiceM8 environments.

The objective isn’t to find as many things as possible to change.

What a ServiceM8 audit looks at

We look at how the platform is set up across the business, then compare that configuration with the way the business operates day to day.

Job creation and scheduling

Quotes and invoices

Customer communications

Forms

Automations

Add-ons

Permissions

Other parts of the platform

Two ServiceM8 audits, two different sets of priorities

Client one

BWJ Plumbing and Gas

The review identified opportunities including:

  • Better customer communications
  • Automated reminders
  • Partial invoicing
  • Online booking
  • Subcontractor management
  • More consistent job processes

Client two

IntaFlow Services

The IntaFlow review produced a different set of priorities. The audit focused on:

  • Client and site management
  • Staged invoicing
  • Safety and job documentation
  • Subcontractor management
  • Standardised services

Knowing what to leave alone

Just as importantly, the report identified features that could be left alone. Much of IntaFlow’s work was B2B, so online booking and additional customer messaging automation offered relatively little immediate benefit. So neither made the priority list.

What each business received

Both businesses received a prioritised roadmap covering three things.

What was working

The parts of ServiceM8 already doing their job, so nothing gets changed for the sake of it.

What could be improved

Where the setup and the way the business actually runs don’t match.

Where budget goes furthest

Where the available budget would deliver the greatest benefit.

The outcome

Both businesses now have a plan for the future as they grow and evolve.

Each business now has a prioritised roadmap built around the way it actually works, so the next step is clear.

Sometimes the right recommendation isn’t to implement more software. It’s knowing what’s worth fixing, what can wait, and where to spend limited time and money.

Wild Squirrel Technology

For us, that’s an important part of good technology advice.

ServiceM8 audit FAQs

What is a ServiceM8 audit?

A ServiceM8 audit is an independent review of how a business has set up ServiceM8. We look at how jobs are created and scheduled, how quotes and invoices are handled, customer communications, forms, automations, add-ons and permissions, then compare that configuration with the way the business operates day to day.

Does a ServiceM8 audit mean changing everything?

No. The objective isn’t to find as many things as possible to change. The report also identifies features that can be left alone, so time and money only go where they will make a difference.

What do you get at the end of a ServiceM8 audit?

A prioritised roadmap showing what’s working, what could be improved, and where the available budget would deliver the greatest benefit.

Is a ServiceM8 audit the same for every business?

No. BWJ Plumbing and Gas and IntaFlow Services received different priorities. BWJ’s review pointed to better customer communications, automated reminders, partial invoicing, online booking, subcontractor management and more consistent job processes. IntaFlow’s work was largely B2B, so its audit focused on client and site management, staged invoicing, safety and job documentation, subcontractor management and standardised services.

Is a ServiceM8 audit still useful if the budget is limited?

Yes. The prioritised roadmap shows where the available budget would deliver the greatest benefit, so a business can start there. BWJ Plumbing and Gas and IntaFlow Services each came away with a plan they can build on.
